Know About Mercanis
What is sourcing software?
Sourcing software is the system procurement uses to run competitive events: inviting suppliers, collecting priced offers in one structure, comparing them and documenting the award. The usual types are RFIs, RFQs and RFPs, each built from a template that sets what the event carries. Mercanis provides sourcing software as a standalone module or as part of its end-to-end AI-native procurement platform.
What has to be filled in before a sourcing event can go out to suppliers?
Most of what an event asks for is designed by the organisation itself. A few fields are mandatory on every event: a name and a description, a deadline in the future, and at least one supplier on the list with complete contact details. Everything else sits in the workflow the event runs on, which decides whether a pricing sheet or a questionnaire is required, whether assessment criteria have to be in place, whether suppliers may revise their offers, and whether suppliers have to accept an NDA before they can see the event.
How are offers made comparable when suppliers reply in different formats?
The structure is set before the event goes out. Suppliers fill in the pricing sheet and the questionnaires in the supplier portal, or export the sheet to Excel, work on it offline and import it back, so what comes back carries the same line items and units either way. The comparison then puts the responses side by side, pricing sheets line by line, questionnaire answers, documents and contract terms, for as many or as few suppliers as it is set to show.
Can offers be compared against an internal target price?
Yes. An internal target or benchmark is entered in the event, and the variance per line item is calculated automatically. It feeds the comparison, the pricing scenarios and the negotiation preparation.
Can one event be awarded to more than one supplier?
Yes. An award can go to a single supplier or be split across several, down to individual line items, so different positions in the same event go to different suppliers. Each supplier is told only what concerns them, and procurement decides when they are told: decisions can be confirmed internally and released later, with the message to each supplier written before anything goes out.
What do suppliers have to do to take part in a sourcing event?
Suppliers receive an invitation to the event and respond in the supplier portal, in the language held on their contact record. Taking part costs them nothing, and supplier support comes from Mercanis directly.
Does Mercanis replace our ERP?
No. Mercanis runs in parallel to your ERP, connected to SAP, Ariba and other systems through APIs. The sourcing event and the award happen in Mercanis, and the resulting order is handed over from there, with no rebuild on your side.
